Aurora Keyscan (Access Control)

Purpose

Install and configure the Aurora Keyscan client for door access control at club properties.

Prerequisites

  • Workstation on domain, able to access the club's server file shares
  • Club's Aurora software share path and database host (see Per-club database hosts below)
  • User's Aurora login credentials (for first-launch verification)

Steps

  1. Locate the installer
  2. Browse to the club's software share (see table below)
  3. [ ] Confirm AuroraInstallation.exe is present

  4. Run the installer

  5. Launch AuroraInstallation.exe
  6. On the splash page, replace localhost with the club's server name or IP address
  7. [ ] Click Update Server Location
  8. [ ] Click Client Installation
  9. [ ] If prompted to install Microsoft Expression Encoder 4, choose No

  10. First launch and update

  11. [ ] Launch Aurora from the desktop icon; have the user log in with their credentials
  12. [ ] If Aurora reports that the version needs updating:
    1. Browse to the software folder on the server
    2. Run AuroraUpdateProcess.exe (choose default options)
    3. Allow the update to complete, then relaunch Aurora
  13. [ ] If AuroraUpdateProcess.exe no longer works, download the latest version from https://www.dormakaba.com/us-en/, replace the old file on the server share, then re-run

  14. Verify server location (new clubs only)

  15. If you do not know the database host for a new club:
    1. Open Aurora on a PC that already has it installed
    2. Go to HelpAbout
    3. The server name is listed at the bottom
    4. Record it in the table below for future reference

Notes / Gotchas

  • Always replace localhost in the installer splash — leaving it will point the client at the local machine instead of the server.
  • Do NOT install Microsoft Expression Encoder 4. Decline when prompted; it is not needed and can cause conflicts.
  • Update path: The software share contains AuroraUpdateProcess.exe for in-place updates. If it stops working, the latest build is on the Dormakaba website — replace the file on the server, don't install directly from the website.
  • Older Aurora versions have a slightly different installer UI but the process (update server location → client installation) is identical.
  • Database discovery: For a new or unknown club, the fastest way to find the DB host is Help → About on any existing Aurora installation.
  • IP note: The RCYC database IP 198.168.222.98 is documented as-is from the original notes; verify it is correct (typical private range is 192.168.x.x).
